Privacy Policy

Handled ("we", "us") is a productivity app for tasks, notes, meetings, and calendars. We build Handled local-first: your data lives on your devices by default, and we collect only what we need to run the product. This policy explains what we collect, why, and the choices you have.
Information we collect
Account information. When you create an account we collect your email address and, if you choose to set them, your name and avatar. Signing in with Apple or Google shares only the profile fields those providers release to us.
Content you create. Tasks, notes, events, and related content are stored locally on your devices. If you enable sync, an encrypted copy is stored on our servers so your data can follow you across devices.
Meeting audio and transcripts. Voice capture and meeting transcription run on your device wherever possible. When you enable cloud-backed transcription, audio is processed by our transcription provider solely to produce your transcript and is not used to train third-party models.
Usage and diagnostics. We collect minimal, aggregated diagnostics (such as crash reports) to keep the app reliable. We do not use third-party advertising trackers.
Connected services
Handled works with services you choose to connect — currently Google Calendar and Google Drive, Zoom, Fathom, Fireflies, Granola, Todoist, Notion, and WhatsApp, plus the calendar accounts already configured on your device. We access only the data each connection needs to provide the feature you enabled (for example, reading calendar events to show your schedule, or reading a meeting transcript to write your note). Services added in future releases are covered by the same terms.
Connections are authorized through each provider’s own consent screen, and you can disconnect a service at any time from the app’s settings, which stops further access.
Access to Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
We use your information to provide and improve Handled: syncing your content between devices, generating transcripts and action items you request, sending essential service communications, and diagnosing problems.
- We do not sell your personal information.
- We do not show ads and do not share your content with advertisers.
- We do not read your content except as needed to operate the service or with your explicit consent (for example, a support request).
Storage, security, and retention
Synced data is stored with our infrastructure providers and encrypted in transit and at rest. Local data on your devices is protected by your device’s own security. We retain synced data for as long as your account is active; on the free plan the cloud copy keeps a rolling 30-day window, while a Handled Pro subscription retains your full history. Data on your device is never pruned by either. When you delete content it is removed from sync, and when you delete your account all synced data associated with it is permanently deleted.
Payments
Purchases and subscriptions are processed by Apple through the App Store. We never see or store your payment card details. Subscription management and refunds are handled through your Apple account.
Your rights
You can access, correct, export, or delete your data at any time from within the app, including full account deletion in Settings. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA — contact us to exercise them and we will respond within the required timeframes.
Children
Handled is not directed to children under 13 (or the equivalent minimum age in your region), and we do not knowingly collect personal information from them.
Changes to this policy
If we make material changes to this policy we will notify you in the app or by email before the changes take effect. The effective date above always reflects the current version.
