Privacy Policy

Handled is a planner for to-dos, notes, saved links and your calendar, available on iPhone, iPad, Mac and Apple Watch. This policy explains what information Handled collects, why, and what you can do about it.
Handled is provided by Akhil Krishnan P ("we", "us"). Questions: help@myhandled.app.
The short version
- You need an account to use Handled. Your content is stored in your account so it stays in sync across your devices.
- We use your information only to run the app. We do not sell it, and we do not use it for advertising or to track you across other apps and websites.
- Voice input is turned into text for the capture you are making. We do not collect or keep the audio.
- You can delete your account, and everything in it, from inside the app at any time.
Information we collect
Account information
- Email address — to sign you in, verify your account, reset your password and send service messages (for example, when your access is approved).
- Name and avatar — if you set them, or if they come from the sign-in provider you choose (Sign in with Apple or Google).
- Account identifier — an internal ID that links your content to your account.
- Time zone — so that dates in things you capture from outside the app land on the right day.
Content you create
- To-dos, including notes, subtasks, due dates, reminders and repeat settings.
- Notes, including any images you add to them.
- Saved links (bookmarks), their titles and the folders you file them in.
- Scratchpad lines you type into the composer.
- Events you create in Handled, and profiles you set up to organise your content.
This content is stored on your device and in your account on our servers so it can sync between your devices.
Calendar information
- Device calendars. If you allow calendar access, Handled reads the calendars on your device to show your events, and can add or change events you edit in Handled. This happens on your device.
- Google Calendar. If you connect a Google account, Handled reads your Google Calendar events and can create, change, delete and respond to events on your behalf. The access tokens Google issues are stored on our servers, tied to your account, so that every device signed in to your account stays connected. You can disconnect Google Calendar in Settings at any time.
Voice input
On iPhone and iPad you can dictate instead of typing. Speech is turned into text by Apple's speech recognition. On devices that support it, this happens entirely on the device; otherwise the audio is processed by Apple under Apple's privacy policy. Handled does not collect, store or upload the audio. Only the resulting text is saved, as the to-do, note or link you create.
Capturing from other places
If you choose to use them, Handled can receive to-dos from outside the app: the share sheet, Shortcuts, the Mac Services menu, the Chrome extension and Slack. In each case Handled receives only the text or link you send, and saves it to your account. Captures from the Chrome extension and Slack are authenticated with a personal token you create in Handled and can revoke at any time.
Connecting AI assistants
If you create a personal token to connect an AI assistant to Handled, that assistant can read and change the content in your account through the token, within the limits you set. Tokens expire and can be revoked in Settings. What the assistant's provider does with the content it reads is governed by that provider's own policy.
Purchases
Subscriptions are bought through Apple. We receive confirmation of your subscription status from Apple so we can give you access. We never see your payment card or billing details.
Diagnostics
If "Share anonymous product analytics" is turned on in Settings, Handled sends crash reports and sync-failure reports. These contain technical details about the app and device, where the failure happened, an error code and your internal account ID. They never contain the text of your to-dos, notes or links, and never your name or email address. You can turn this off in Settings; it stops immediately.
Handled does not use third-party advertising or cross-app tracking tools.
Shared profiles
You can share a profile with one other person. When you do:
- That person can see everything in the shared profile: its to-dos, notes and saved links.
- They can see the email address of the account that shared it, and you can see theirs.
- Either of you can add to the profile and assign to-dos to each other. Notes can be edited only by the person who wrote them.
- When someone leaves or is removed, the shared content is removed from their devices. Content they wrote stays in their own account.
Only share a profile with someone you are comfortable seeing its contents.
How we use information
We use the information above to:
- provide the app and keep your content in sync across your devices;
- sign you in and keep your account secure;
- show and update your calendar events;
- send reminders and notifications you have asked for (these are scheduled on your device);
- send essential account emails;
- find and fix crashes and sync problems;
- respond when you contact us.
We do not sell your information, use it for advertising, or use your content to train AI models.
Who we share information with
We share information only with the service providers that run Handled for us, and only as needed to provide the service:
| Provider | What it does | What it receives |
|---|---|---|
| Supabase | Account sign-in, database and file storage | Your account information and the content in your account |
| Apple | Sign in with Apple, subscriptions, speech recognition, notifications | Sign-in and purchase information; speech audio when on-device recognition is unavailable |
| Sign in with Google and Google Calendar, if you connect them | Sign-in information and the calendar changes you make | |
| Sentry | Crash and error reporting, if enabled | Diagnostics as described above |
We may also disclose information if the law requires it, or to protect the rights, safety or property of our users or ourselves.
Where information is stored and how long we keep it
Your content is stored on your devices and on our servers. We keep it for as long as your account exists. When you delete something, it is removed from your account, and from your other devices the next time they sync.
When you sign out, Handled sets your content aside on that device so it is still there if you sign back in. Deleting your account removes it.
Your choices
- See and change your content in the app at any time.
- Delete your account from Settings. This permanently deletes your account, your content and any stored Google Calendar connection from our servers.
- Disconnect Google Calendar in Settings.
- Revoke personal tokens for capture and AI assistants in Settings.
- Turn off diagnostics in Settings.
- Withdraw device permissions (calendar, notifications, microphone, speech recognition) in your device's settings.
Depending on where you live, you may also have the right to ask for a copy of your information, to have it corrected, or to object to how it is used. Contact us at help@myhandled.app and we will respond.
Security
Information travels between your devices and our servers over encrypted connections, and each account's content is separated from every other account's on our servers. No system is perfectly secure, so we cannot guarantee absolute security.
Children
Handled is not directed at children under 13 (or the minimum age in your country), and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we make a material change, we will update the date at the top and tell you in the app or by email before the change takes effect.
